Zapier vs Make: workflow fit, limits and real cost

Direct answer and scope

Trial Zapier first when the reference workflow is short and mostly linear; trial Make first when it needs visible branching, data transformation or bundle handling.

Choose the winner only after both products run the same representative workflow with acceptable recovery, governance and measured usage.

The principal limitation is that a Zapier task and a Make credit are different units, so entry prices cannot be compared without modelling the actual workflow.

Mental model: event to operating cost

Think of automation as six links: event, trigger, processing steps, routes, run outcome and metered usage.

A trigger detects the event that starts or checks a workflow.

An action or module reads, transforms or writes data after the trigger.

A path or route sends different records through different branches when conditions differ.

A bundle is Make's unit of data processed by a module, and multiple bundles can multiply downstream operations.

A Zapier task records qualifying successful work under Zapier's current meter, while a Make credit pays for usage under Make's meter.

The relationship that matters is records times executed metered steps, adjusted for branches, retries and any special AI or feature rate.

Reconciliation means comparing the source records, expected actions and destination results so missing, duplicate or partial work can be found.

Current plan and meter snapshot

Zapier currently lists a Free plan with 100 tasks per month.

Zapier's official pricing explainer lists Professional starting at USD 19.99 per month billed annually with 750 tasks and Team starting at USD 69 per month billed annually.

Zapier's current meter charges one task for a successful standard app step, zero for listed built-in tools and different published rates for MCP and AI usage.

Make currently lists Free with up to 1,000 credits and, at the 10,000-credit setting, Core at USD 12, Pro at USD 21 and Teams at USD 38 per month.

Make says most non-AI modules use one credit per operation, while some AI and advanced features use other fixed or dynamic calculations.

These USD snapshots were retrieved on 5 August 2026 and require checkout-level verification for billing frequency, currency, tax, included usage and account eligibility.

Overage, budget and stop controls

On an eligible paid Zapier plan with pay-per-task enabled, workflows can continue beyond the included task allowance and additional tasks are billed at the account's current rate shown in Billing settings.

If pay-per-task is not used, runs are held when the included task limit is reached; with pay-per-task enabled, Zap workflows stop when the account reaches Zapier's maximum usage amount of three times the plan task limit.

Make allows paid-plan users to buy extra credits manually, while Core, Pro and Teams can enable repeated 10,000-credit auto-purchases at a 25% additional cost; a failed payment pauses scenarios until the payment method is updated.

Before enabling either vendor's extra-usage mechanism, record an internal account budget threshold, the named usage owner and the email, ticket or on-call route that receives usage alerts.

Set a stop rule that disables the affected workflow when repeated triggers, unexpected branch growth or uncontrolled AI usage can exceed the approved budget before a person reviews the run history.

Do not treat a platform notification as the whole control: the usage owner must reconcile the platform meter to the reference-workflow worksheet and investigate unexplained growth.

Why the same event can cost differently

In Zapier, a successful standard action normally consumes a task, while listed tools such as Filters and Paths do not consume tasks under the current rate page.

In Make, an operation is a module run, and modules may run once for each bundle they receive.

A router itself can be unmetered while the modules on every matching route still execute and consume usage.

AI steps can break a simple one-step assumption because both platforms publish special AI-related usage rules.

For example, 100 records passing through two metered Zapier actions imply 200 base tasks before any separately rated steps; this is a derived illustration, not a quote or invoice.

A Make scenario with one trigger operation and three downstream modules processing 100 bundles could produce 301 operations before special rates; the exact execution pattern must be verified in the run record.

Build one reference-workflow worksheet

  1. Name one real event and the business outcome it must produce.
  2. Record every source app, destination app, trigger, action, branch, transformation and AI step.
  3. Define expected monthly records, peak bursts, duplicate risk, retry behaviour and the data classifications involved.
  4. Confirm that both products expose the exact trigger and action required; an app logo alone is insufficient.
  5. Calculate usage from the current product-specific meter instead of converting tasks to credits.
  6. Run a non-production sample that reaches every important branch and expected error state, then reconcile the worksheet to the product's usage report.

Failure handling changes the operating model

Zapier documents distinct run states including errored, handled error, on hold, scheduled, skipped and successful.

Deleting a completed Zap run record does not undo actions that already happened in connected applications.

Make says its Rollback error handler stops the scenario and reverts changes made by the erroring bundle only in modules that support transactions; it cannot undo actions in modules that do not support transactions.

An automation therefore needs an application-level reconciliation plan even when the platform uses the word rollback.

Test an expired connection, malformed record, downstream outage, duplicate event and partial completion with non-production data.

Record who may pause, replay, reconcile or disable the workflow and how duplicates or partial writes will be identified.

Governance, migration and rollback

Use least-privilege connections, named ownership, change review, an incident contact and a budget alert before a workflow becomes business-critical.

Do not use production credentials or personal data in a trial until the organisation has approved the provider, contract and data handling.

Keep the old automation disabled but recoverable while the new workflow runs in a controlled parallel or shadow test.

A shadow test lets the new workflow process representative inputs or record expected outputs without becoming the authoritative business process.

Before cutover, export or document the workflow, connection owners, field mappings, filters, schedules and current usage baseline.

If the new workflow creates unexplained duplicates, missing records, uncontrolled cost or unrecoverable partial writes, disable it and return to the last verified process.

Decision rules and examples

Trial Zapier first for a lead-capture flow with one trigger, a few linear actions and an operator who wants a simpler run model.

Trial Make first for an order process that routes bundles by country, transforms line items and exposes the branches on a visual scenario map.

For either product, reject the pilot if the exact apps, recovery behaviour, governance controls or measured cost fail the reference-workflow contract.

Do not choose either product from the entry price, integration count or a generic feature checklist alone.
